Purpose: on the bases of specific standards that have been established and have become traditional in the theory and practice of describing archival documents in Ukraine, as well as on international practice of descriptive works, to identify common methodological and methodical principles for compilation of descriptions of cases of permanent, long-term storage and personnel issues (personnel) in structural unit, archival department of an institution as well as of archival descriptions of cases of permanent storage on administrative documentation in archival institutions considering formalizing and standardizing of descriptions. Methods of research: analysis and synthesis, systematic approach, observation, information, comparison, generalization methods, etc. The novelty of the research lies in the fact that: developed guidelines are based on the definition of common methodological and methodical principles for describing archival documents; have been established requirements for the structure of the descriptive article of the description, its providence with relevant content and forms of its disclosure taking into account the existing normative-legal base and rules for standardized description; structure of description has been suited for internal purposes of Ukraine and the international exchange of information and allows to describe any organization level of primary information regardless of ways of its fixation and reading, as well as the type of media. Theoretical and practical results: defining of the unified methodology for describing documents in the description allows further multifaceted use of once established secondary archival information without re-application to archival documents and integration of descriptions at various cases into a single archival information system. In the future, this will enable the transition to compilation of descriptions as electronic directories. Efficiency of implementation: implementation of guidelines into practice will improve the efficiency of searching archival information on the basis of the standardized description in accordance with the requirements of the State Standards of Ukraine 4331:2004 Rules of Describing Archival Documents; it will complement regulatory-methodological basis of the archival industry on conducting descriptive works. Scope of implementation: guidelines are intended for use in practical activity of records management services and archival departments of state bodies, local authorities, enterprises, institutions and organizations of various forms of ownership, as well as central and branch state archives, the State Archives in the Autonomous Republic of Crimea, state archives in regions, in cities of Kyiv and Sevastopol, archival departments of district administrations and archival departments of municipalities, archival departments of state archival research institutions, museums and libraries, archival institutions of the National Academy of Sciences of Ukraine.
